Role Summary

The Safeguarding Officer will work with the People Team Lead and the Trustee Board in ensuring that appropriate arrangements are in place for keeping students, volunteers and team members safe at Roots Academy.

You will promote the safety and welfare of young people involved in Roots Academy’s activities at all times.

Key tasks

  • Support with developing, reviewing and implementing Roots Academy’s safeguarding policies and procedures: ensuring all safeguarding issues concerning students and volunteers who take part in Roots Academy’s activities are responded to appropriately.
  • Make sure that everyone working or volunteering at Roots Academy, including the board of trustees, understands the safeguarding policy and procedures and knows what to do if they have concerns about a student or volunteer’s welfare.
  • Develop and deliver safeguarding training.
  • Make sure students and young people who are involved in activities at Roots Academy know who they can talk to if they have a welfare concern and understand what action the organisation will take in response.
  • Receive and record information from anyone who has concerns about a student or volunteer who takes part in Roots Academy’s activities.
  • Responding to information that may constitute a safeguarding concern, including a concern that an adult involved with Roots Academy may present a risk to children or young people. This includes:
    1. Assessing and clarifying the information
    2. Making referrals to statutory organisations as appropriate
    3. Consulting with and informing the relevant members of the organisation’s management
    4. Following the organisation’s safeguarding policy and procedures.
  • Liaise with, pass on information to and receive information from statutory agencies such as the police. This includes making formal referrals to agencies when necessary.
  • Store and retain safeguarding records according to legal requirements and the organisation’s safeguarding policy and procedures.
  • Work closely with the board of trustees the People Team Lead to ensure they are kept up to date with safeguarding issues and are fully informed of any concerns about organisational safeguarding practice.
  • Report regularly to the board of trustees on issues relating to safeguarding, to ensure that safeguarding is seen as an ongoing priority issue and that safeguarding requirements are being followed at all levels of the organisation.

Role Summary

As a Governance Officer, you will work closely with the Governance Lead to ensure strong governance practices across Roots Academy. Your role will focus on supporting governance frameworks, policies, and compliance measures to align with charity governance requirements and relevant regulations. You will also play a key role in embedding a culture of governance across the organisation.

Key Responsibilities

  • Trustee Support
    • Assist trustees with governance-related tasks and ensure they have access to relevant policies, guidelines, and resources.
    • Direct trustees to appropriate regulatory frameworks, best practices, and governance training materials.
  • Governance & Compliance Support
    • Support the onboarding process for new trustees, ensuring all necessary documentation is collected and securely stored.
    • Assist in coordinating trustee meetings, including preparation of agendas, accurate minute-taking, and document distribution.
    • Maintain key governance registers, such as the register of interests, policy register, and risk register, ensuring timely updates and compliance.
  • Policy & Risk Management
    • Support the Governance Lead in developing and reviewing governance policies, including Conflict of Interest, Risk Management, and Whistleblowing Policies.
    • Assist team leads in ensuring policies are implemented effectively and aligned with best practices.
    • Help monitor compliance with Charity Commission regulations and the Fundraising Code of Conduct.
  • Embedding a Governance Culture
    • Assist in raising awareness of governance principles across the organisation.
    • Support the Governance Lead in organising training sessions or briefings on governance best practices.
    • Help integrate governance principles into the organisation’s operations and decision-making processes.

  • Interest or experience in charity governance, risk management, or compliance.
  • Strong attention to detail and ability to maintain accurate records.
  • Excellent organisation and communication skills.

As a Notion Specialist, you will play a key role in helping volunteers and teams effectively utilise Notion for their work. Your expertise will ensure that teams can optimise workflows, manage information efficiently, and collaborate seamlessly within the platform. You will provide training, manage permissions, and support teams in structuring Notion workspaces tailored to their needs.

Key Responsibilities

  • Training & Support
    • Conduct training sessions for volunteers on how to use Notion.
    • Develop and maintain training materials (e.g., guides, videos, FAQs) to support ongoing learning.
    • Provide one-on-one or group support to answer Notion-related queries.
  • Workspace Optimisation
    • Help teams structure their Notion workspaces to suit their workflows and case scenarios.
    • Assist in building and refining dashboards, databases, templates, and automations.
    • Provide recommendations on best practices for using Notion efficiently.
  • Permissions & Access Management
    • Set up and manage permissions to ensure appropriate access levels for different roles.
    • Regularly review and update access permissions to maintain security and efficiency.
  • Process Improvement & Documentation
    • Identify opportunities to improve organisational efficiency using Notion.
    • Document standard operating procedures (SOPs) and best practices within Notion.
    • Support teams in integrating Notion with other tools where relevant.
  • Ongoing Support & Troubleshooting
    • Act as the go-to person for troubleshooting Notion-related issues.
    • Stay updated on new Notion features and advise the team on potential improvements.
    • Gather feedback from users to continuously enhance Notion use across the organisation.

  • Strong experience using Notion, with the ability to teach others effectively.
  • Understanding of database structures, workflows, and automations within Notion.

The recruitment officer will support on recruitment for core volunteer positions at Roots Academy, and also support with HR administrative tasks.

Key Responsibilities

  • Recruitment – supporting with role descriptions, advertising positions, arranging interviews, sending offers and inducting new starters.
  • Compliance and employment law – requesting IDs and other documentation as required, supporting with training requirements, and updating trackers.
  • HR Admin – managing the contracting / volunteer agreement process, ensuring personnel files are kept up to date and accurate record keeping of all HR files.

What we’re looking for

  • Prior experience in an recruitment role desired but not essential 
  • Strong interpersonal skills
  • Strong understanding of the Muslim Community in the UK, and belief in Roots Academy’s vision

Role Summary

We are seeking a skilled Test Engineer to join our digital team at Roots Academy. This role is essential in ensuring the quality and reliability of our Firebase/Flutter-based technologies. The ideal candidate will have a solid background in software testing and a passion for delivering high-quality digital products. You will work closely with developers, designers and other stakeholders to design and implement testing strategies (unit, feature and end-to-end testing) that enhance the performance and user experience of our platforms.

Key Tasks

  • Develop and execute comprehensive test plans and test cases for the Roots app, website, and portals (Instructor, Student, and Partner).
  • Collaborate with developers to identify testing requirements and ensure that all features are thoroughly tested and validated before deployment.
  • Automate testing processes using appropriate tools and frameworks to ensure efficiency and repeatability.
  • Identify, document, and track defects, and work with the development team to resolve issues in a timely manner.
  • Conduct performance and load testing to ensure our platforms can handle user demands effectively.
  • Provide feedback on usability and functionality, and work with the UX team to enhance the user experience based on testing outcomes.
  • Stay updated on industry trends and best practices in software testing and quality assurance.

What We’re Looking For

  • Proven experience as a Test Engineer or in a similar role, preferably with a focus on mobile and web applications.
  •  Strong knowledge of testing methodologies, tools, and processes.
  •  Experience with Firebase and Flutter is highly desirable.

What We’re Looking For

  • Proven experience as a Software Engineer, with a strong focus on mobile and web application development using Flutter.

  • Proficiency in Dart programming language and familiarity with Firebase and RESTful APIs, as well as third-party libraries.

  • Solid understanding of mobile and web application architecture and design patterns.

  • Experience with version control systems, preferably Git.

  • Familiarity with project management tools, particularly JIRA.

  • Strong problem-solving skills and attention to detail.

  • Proven experience as a Product Manager or in a similar role, preferably within the education technology sector; prior involvement with Islamic Societies (ISOCs) is a plus.

  • Strong understanding of web and mobile application development processes and methodologies.

  • Exceptional communication and interpersonal skills, with the ability to work effectively with diverse teams.

Role Summary

Roots Academy is a non-profit company, established in 2020. The team currently consists of 80 core volunteers across the UK. Roots first began fundraising during Ramadan 2023, raising over £25,000 in one off donations, and £2,200 in monthly commitments. Building on this, Roots is now seeking a Volunteer Fundraising Team Leader, to build the Fundraising function, and help increase donations.

Key tasks

  • Work with the Exec team to develop a fundraising strategy
  • Identify opportunities for Roots Academy to raise funds – e.g. networking with major donors, events, community fundraising, mosque collections, partnerships, grants, trusts, foundations etc.
  • Lead the fundraising team of volunteers to implement the fundraising strategy, and raise funds
  • Work with the marketing and finance teams to maintain donor records
  • Work with marketing to give feedback to donors on how funds are utilised to deliver Islamic Education

  • Experience in income generation, fundraising or business development in the non-profit sector

As part of teaching at Roots, instructors are supplied with many teaching resources to help them teach the Roots way, such as instructor slides, teaching notes and walk-through videos.
Your role at Roots is to produce well-curated teaching notes, to ensure instructors understand the content and know exactly what is being taught.

Key tasks

  • Assessing the current standard of teacher notes, and reformatting them

  • Checking the teacher notes against the slides and ensuring they are in line

  • Ensure teacher notes are well-designed and easy to read

Role Summary

To bring our vision to life, you will play a pivotal role in spreading the message of Roots to a wider audience through the Firmly Rooted podcast. You will be responsible for planning and hosting episodes for the podcast alongside the team. You will be responsible for bringing these plans to life once the camera starts rolling, creating an engaging, welcoming and student-friendly atmosphere through your questions, style and rapport with guests.

Key tasks

  • Content creation: Create a podcast plan and structure for each podcast with Podcast Lead. Creating contingency plans if things don’t go to plan (e.g. guest cancels).

  • Hosting duties: Introduce the episode and guest, guide the flow of the conversation, time manage the podcast itself so each one is of an appropriate length, intermittently summarise the key points of the guest for the viewers.

  • Guest relations: Create a comfortable environment for the guest and make them feel at ease before the podcast starts. Includes pre-filming communications and preparation.

What we’re looking for

You should have the following prerequisites:

  • Experience in podcast hosting or other forms of public speaking.

  • Understanding of the audience and their needs.

You should be comfortable with:

  • Holding a conversation with a variety of guests from different backgrounds.

  • Adapting to changes in the filming plan and having contingencies.

  • Collaborating with the podcast team on delivery and planning.

  • Travelling to different locations for filming.

Role Summary

Site managers are responsible for establishing partnerships with University Muslim Student Associations (MSAs) and Islamic Societies (ISocs), and maintaining positive relationships with these sites

Key tasks

  • Actively establish and maintain positive relationships with the MSA/ISoc committees and Student Ambassadors to ensure an exceptional onsite experience for students and promote retention of sites 

  • Be responsible for overseeing all onsite logistics through liaison with the Student Ambassador to ensure that onsite logistics including advertising of the class and other required tasks are taken care of by the MSA/ISoc 

  • Be the point of contact for ISocs: answer questions from the MSA/ ISoc committees and Student Ambassadors to the best of your ability and engage them on a 1-1 basis, listen to their needs and concerns and addressing these accordingly 

  • Collect ideas and best-practices from how different MSAs/ISocs are delivering their class 

  • Participate in onboarding current and new sites prior to the start of the academic year 

  • Be the point of contact internally for any queries or updates related to assigned MSAs/ISocs 

What we’re looking for

  • An understanding of the Muslim university scene and how university MSAs/ISocs operate. 

  • Excellent interpersonal and communication skills.

  • Ability and keenness to make and maintain genuine connections with people. 

  • Ideally based in London, Wales or Scotland. Anyone based elsewhere in England is also welcome to apply.
  • Ability to travel regionally for face-to-face meetings with MSA/ISoc committees, at least once per semester.

You will oversee data security policies, advise on compliance matters, and support teams in handling personal data responsibly. Your role is key in ensuring the organisation meets legal requirements and protects sensitive information.

Key tasks

  • Compliance & Advisory
    • Ensure compliance with data protection regulations, including GDPR and other relevant laws.
    • Advise the Governance Lead and wider team on data protection policies and best practices.
    • Serve as the main point of contact for data protection queries and external regulators if required.
  • Policy & Process Development
    • Develop and maintain data protection policies, privacy notices, and consent forms.
    • Ensure policies align with legal requirements and organisational needs.
    • Regularly review and update policies in response to regulatory changes.
  • Training & Awareness
    • Provide training sessions for staff and volunteers on data protection principles and responsibilities.
    • Raise awareness about data security risks and how to mitigate them.
    • Develop guidance materials for teams handling personal data.
  • Data Security & Risk Management
    • Support the organisation in identifying and mitigating data protection risks.
    • Conduct regular audits to assess data handling processes and compliance.
    • Assist teams in responding to data breaches, ensuring proper reporting and corrective actions.
  • Record-Keeping & Documentation
    • Maintain records of data processing activities and ensure they are up to date.
    • Assist with data subject requests (e.g., access, rectification, and deletion requests).
    • Work with relevant teams to ensure secure data storage and handling.
  • Third-Party Management
    • Assess and monitor the data protection practices of suppliers, contractors, and external partners.
    • Review contracts with third-party vendors to ensure appropriate data processing clauses and agreements are in place.
    • Work with legal and procurement teams to ensure compliance with GDPR and organisational policies when engaging external providers.

This will include supporting the Canada team with recruitment, maintaining HR files, keeping accurate records in line with compliance requirements, issuing volunteer agreements, and ensuring the Canada team are compliant with Canadian employment law.
